AGM Meeting Minutes 25th June 2011

1.  Re-election of the committee.

  • Nominations for the committee were received and seconded for the following members:

        i.      Paul Rogerson

        ii.      Paul Hughes

        iii.      Brian Edgcumbe

        iv.      Paul Coombes

It is now down to the group of members to meet independently to determine roles within the committee.  We couldnt find another Paul to make it totally confusing.

2.  Financial Statement.

  • The financial statement was circulated and accepted by the attendees.

3.  Membership fees for next season have been set at £5 for adults and £3 for juniors and OAP’s for existing members renewing for the new season. New members will pay £10 and £5 respectively and receive a free gift.

4.  The club will run a stall at the gala this year stall will sell a range of items as well as recruiting new members.  Anyone wishing to help please let us know.

  • The stall has been confirmed and the new badges and other merchandise will be on sale.  Anyone able to assist on the day please come forward.

 5.  Subsidised bus to away matches for supporter’s club members. 

  • There was a lengthy discussion about the merits of running a bus to all of the away games.  The longer treks are certainly popular but runs to Bishop etc the demand tails off.  The shorter runs need to be full to balance out the longer trips.  The demand is to be canvassed over the pre season friendlies and if it is felt that there isn’t the demand then a bus will not be run this season.  A sheet will be put up in the bar and a forum topic started to allow members to register their interest.

 6.  Season Tickets  - offer is valid until the 30th July

  • Application forms are printed on the gala flyers as well as in the match day programs.

7.  Supporters Charity match and Family Fun Day.

  • The day is being organised by Dan Newell and he is to be approached to determine what is in place for the day.  Anyone wishing to sign up for the supporters charity match should also see Dan. 

8.  Ground development update.

  • Internally the stand has had a new heating system fitted, the home changing rooms have been upgraded along with the secretary’s office and a meeting room has been created.
  • In the bar and the sponsors lounge the central islands have been removed and made portable to allow use when required.
  • A phone line and wireless broadband is being installed.
  • Externally new fencing is being erected around the clubhouse site and alongside the main stand as a health and safety measure.
  • The whole of the ground has been tidied and painted and the pitch has been reseeded.
  • Grant applications are in progress to refurbish the Tees crescent side of the ground and install new floodlights.  These however take time to process and work will not commence prior to the start of the season.

9.  Free admission to a preseason friendly for everyone renewing their membership.  Voucher scheme.

  • Everyone joining the supporters club this season will get a voucher for free admission to the Newcastle game.  The supporters club will then pay for the vouchers submitted.

10.  Any other Business.

  • It was raised that the Newcastle game had not yet been promoted much – as it happened we had just taken delivery of the posters and some were distributed there and then.  There are 600 flyers printed and ready to be distributed at the Gala  detailing all of the pre season friendlies.

11.  Date of the next Supporters Club Meeting.

  • The next meeting will be held on the 23rd July when vouchers for the Newcastle game will be distributed and a decision on the Supporters bus made for the coming season.

Supporters Club AGM – 25th June 2011

The Supporters Club AGM will be held at 1pm on Saturday 25th June 2011 in the Moors Bar.

The bar will be open from 12:30 onwards with the meeting starting at 1pm prompt. 

Everyone is welcome to come along to find out what is going on at the ground this summer and what we have planned for the future.

Supporters Club Meeting 1st April 2011

1st April 2011 – The Moors Bar

  1. Minutes from the last meeting were accepted.
  2. Current bank balance was presented as part of the financial statement for the year.  There is a small deficit for the year but this is due to the current level of stock unsold.
  3. The Spennymoor School charity has been re-arranged for the 15th July due to the work scheduled on the pitch.  The supporters game will be scheduled for Sunday 17th July and be incorporated into a family fun day.
  4. The supporters game will raise funds for charity again this year and the suggestions for this year are the Great North Air Ambulance, the Marie Unit at Bishop Hospital and SSAFA which is a local armed forces charity.  We need to determine if we raise funds for one or all three.  Jason and Perry are to be approached to see if they will be Team Managers.
  5. Supporters busses for next season will continue with the same company but a price will need to be determined for the coming season.  The scheme will again be self financing and there is currently £99 in the fund which will be used to subsidise the last couple of away games for the regular travellers.
  6. Club Mascot is available on request for anyone wishing to promote the club.
  7. Supporters Club fees are due for the coming season from 1st June onwards.  This season we had 60+ members compared to 45 the previous year.  We will push to increase the number again for the coming year.  Fees this will be £5 to renew membership and £10 for new members which will include a welcome gift.
  8. WE aim to have two supporters’ trips away during the summer to keep everyone in contact.  The first proposal is a trip to Sunderland dogs on the evening of 20th May followed by a family day out to York on the 11th June to allow either shopping or a visit to the race meeting on that day.  The bus for this day will be subsidised by the supporters club to keep the cost down.  Members will pay a reduced amount for the bus.
  9. Supporters Packs are to be made up in advance and kept at the ground so there is no delay in receiving membership.
  10. Dan Newall to be approached about booking a stand at the park again for this year’s Gala.  If possible we need to get Jason and the players along with the mascot to swell the numbers for the parade and the park.
  11. An update on the ground developments was given and discussed.  The more pressing work is to get the heating system sorted out in the main stand and discussions with a local company to provide the work for a sponsorship deal.  We are also seeking grants for building a new toilet and catering block along with netting to prevent the loss of footballs into local properties.
  12. It was suggested that we do a leaflet drop round local properties with a contact number to allow balls to be returned to the club.
  13. Refurbishment of floodlights – supporters have certain skills that we could utilise – we jst don’t know who can help so anyone with building and electrical skills are to be encouraged t get in touch so we can start a skills register.  A supporter to be approached about electrical work required on the floodlights.
  14. The supporters club will pay the admission fee to one of the preseason friendlies for all members as an incentive to join.  Vouchers to be issued to all members which are to be handed in to the gate.  The club will then present them for payment.
  15. New committee members are required for the coming season due to resignations.  Nominations are to be sent to Mike Rowcroft as soon as possible.
  16. Working party for the end of the season.  There are a number of jobs that are required to bring the ground up standard for the coming season.  The key work is concreting the top surface on Tees Crescent, remediation of the concrete posts around the perimeter fence, refurbishing the Tees Crescent turnstiles so they can be opened up and general repair and maintenance such as painting and tidying up.
  17. The next meeting will be the AGM which will take place early June – the date to be decided.

Supporters club meeting 31st October 2010

Spennymoor Town Supporters Club meeting Minutes 31st October 2010. 

Chairman – Paul Edgcumbe. 

1.       Members Fees for the coming season.  It was agreed that the subs for the coming season are to be set at £5 for renewal and £10 for new members with a gift.  Junior members will pay £3 and £5 respectively. 

2.      Financial Statement.  Funds currently stand at £800.  The club have paid for two signed shirts to be auctioned / raffled at the Sportsman’s Evening.  A further shirt is to be framed and raffled at the Christmas party.  The cost to be refunded to the supporters club and the profit to the Football club. 

3.      End of Season Charity Match.  Dan Newall is to be asked to finalise a date and teams and report back to the committee.  The Charities suggested for this seasons game have been proposed as follows: 

a.      MARA  -  a treatment centre for local Cancer sufferers 

b.      Help the Heroes 

c.       Air Ambulance 

The funds can either be split amount the three charities or a vote can be proposed to select a nominated charity. 

4.      Supporters Bus – Anyone putting their name down and not showing will be required to pay unless their seat can be sold. 

5.      Supporters Club night out – A night out will be arranged for the New Year – a trip to Sunderland dogs is the preferred option at the moment.  There will be a nominal fee for the bus and tickets can be obtained from the bookies. 

6.      Tiger Suit mascot – approval has been given to purchase a mascot suit to be used at promotions and events.  The suit will cost approx. £140 and can be used for both supporters and football club functions but remain the property of the supporters club. 

7.      Ideas for future functions in the Moors Bar – Race night / karaoke and a Family Day on the Easter weekend which falls late April next year. 

8.      There are currently 60 members in the supporters club which is a slight increase on last year’s number. 

9.      A supply of supporters packs are to be made up to prevent delay when new members join. 

10.  A monthly draw of £2 is to be set up to allow revenue to be raised over the coming months and the summer months in particular. 

11.  The Football Club should be approached to allow members of the supporters club free entry to one of the pre season friendlies next year
